# AI gave me my life back

## AI for Small Business Owners: How It Gave Me My Life Back

If you run a small business, you probably know the feeling. The to-do list never ends, and every item on it takes up a little space in your head.

Some days there is no room left to think about the business itself. You finish the week tired, and not just mentally. You feel it physically too.

That was me for a long time. Most of the talk about AI for small business owners is about working faster. What surprised me was that speed was not the biggest change. The biggest change was getting my headspace back.

## **What does mental overload actually cost a business owner?**

I started Sustainable Marketing Services in 2008. In the early years it was easy to stay organised. As the business grew, so did the list.

Client work always came first. Working on my own business came second, usually squeezed in late or not at all.

On a day with 20 things on my list, I would get through three. Not because I was not working hard. Because every phone call, email and urgent request pulled me somewhere else.

Looking back, the real cost was not the unfinished tasks. It was that strategic thinking, the work I do best, kept getting pushed to later. For a strategist, that is a real problem.

## **What happened when I started building AI into the business?**

I would love to say it was easy. It was not. The first six months were hard work.

I built AI skills, systems and automations around how our business actually runs. Some worked straight away. Some needed a lot of rework. A few were used only once.

Then it reached a tipping point. Things started to flow, and the effort I had put in started paying back.

My own estimate is that AI saves me at least 10 to 15 hours a week. It saves time in daily planning, client status updates, online research, monthly reporting and other repetitive tasks.

I have not banked all of that time. I have reinvested a lot of it into doing a better job.

Our marketing plans are more thorough than they used to be, and I spend more time on the thinking behind each client's work.

## **What did AI for small business owners like me actually change?**

The hours matter, but the bigger shift was in how the days feel. Here is what is different now.

- With 20 things on my list, I now get through 80 to 90% of them. The important things get done.
- I have time to sit down and think about client work, and how to make it better.
- I review how the business is going every week and every month, instead of squeezing it in after client work.
- I have time to read what is happening in our industry, which makes me a better marketer.
- I am finally doing the Mini Marketing MBA and I am up to date in my study.
- I spend proper time with my team. Not having time to mentor staff was something I always felt guilty about.
- I have more energy, and it is easier to look after my health.

I still work on weekends, but by choice. I do not do client work on weekends. That is when I work on the business, and honestly, for a consultant who loves working on businesses, that is my fun time.

With 20 things on the list, three got done. Now it's 80 to 90%.

## **Why can't AI do the expertise?**

AI is very good at organisation, research and tasks that can be repeated. It is not good at expertise, and I do not believe it can be.

Expertise takes judgement. Knowing whether something is right for this client, in this market, at this moment.

It takes accountability. My professional indemnity insurance requires me to review everything that goes out, especially anything AI helped create. Software does not carry that responsibility. I do.

And it takes context. What was said in the kickoff meeting. What the owner is quietly worried about. Which idea will land with their team and which will not.

So in our business, a person comes up with the strategy, briefs the work, reviews it, refines it and approves it. AI supports every step, but it does not make the call.

We are not alone in that. A 2026 World Federation of Advertisers study found 96% of major brands now use AI in marketing, and 75% require human oversight of what it produces (Source: [World Federation of Advertisers, 2026](https://wfanet.org/knowledge/item/2026/09/30/96-of-major-brands-now-use-ai-in-marketing-wfa-research-finds)).

## **Is AI a competitive advantage for small businesses?**

This is the question I keep coming back to in my Mini Marketing MBA studies.

Michael Porter made the point that operational effectiveness is not strategy (Source: Michael Porter, "What Is Strategy?", Harvard Business Review, 1996). New technology pushes the frontier of what is possible out for everyone. Competitors catch up.

So I do not think AI itself is the advantage. The advantage is what you do with the capacity it frees up.

For us, that capacity is going into thinking harder about client work, and into reshaping our own business. This month I am also starting a 12 week AI course for marketers through the Australian Marketing Institute, which I will use to review and update all of our services.

## **What would I tell another business owner starting out with AI?**

Start with what clutters your head, not with what is trending. The reminders, the follow ups, the things you keep meaning to check. That is where AI for small business owners pays back first.

Expect the first months to be hard work. It gets easier once you reach the tipping point.

Keep your judgement in the loop. I am deliberate about governance and risk, and I keep learning from people who know more than I do.

Our industry is changing quickly. I would rather be at the front of that change than catching up to it.

**AI did not give me more hours to work. It gave me room to think.**

## **Frequently asked questions**

AI saves the most time on frequent, repetitive tasks. In my business, the biggest weekly savings come from five things: daily and weekly planning briefs, drafting client status updates, online research, monthly client reporting and writing standard operating procedures. Together they save me roughly 10 to 15 hours a week. Email is a good place for any business to start. AI now sorts my inbox and drafts replies to emails I have not answered, which I check before anything is sent.

No. AI can handle repeatable tasks, but expertise needs judgement, accountability and context. Someone still has to decide whether the work is right for the business, its customers and the moment. In our business, a person creates the strategy, briefs, reviews, refines and approves everything AI helps create.

It depends on how much you build, but expect a learning curve. For me, the first six months were hard work. After that it reached a tipping point, and the systems I had built started paying back every week.

On its own, probably not for long, because competitors can use the same tools. The advantage comes from what you do with the time and headspace AI frees up, such as better strategy, better client work and better decisions about where the business is heading.

Start where you are weakest, not where you are strongest. As a marketer, I started with marketing tools, because that is what I know best. The bigger saving came when I turned AI to admin, the part of the business I find hardest. Keep anything that needs judgement, such as strategy and final approval, with a person.

Yes. Review everything before it goes out. AI can sound confident and still be wrong or off brand. In marketing, professional obligations can also require a person to check the work. Human review protects your reputation and your customers' trust.
